Information on Using the Library
The following FAQ provides information on using the university library. If you have further questions or experience any issues with library services, please feel free to use the general contact options.
Students are automatically registered with the University Library via their GreenCard. Please notify the → Student Service Centre of any changes to your name or address.
Employees and external users can register at the lending and information desk during opening hours. A valid ID card or passport accompanied by a registration certificate must be presented. Please inform the University Library of any changes to your name or address.

Minors (the minimum age for registration is 16) must submit, in addition to their own registration form, a consent form signed by a parent or guardian. Any changes to name or address should be reported to the University Library.

A selection of equipment is available for daily loan at the lending and information desk. This includes charging cables (USB-C, USB Micro, and Lightning for Mac), portable CD-ROM drives, headphones, laptop locks, and mobile noise-cancelling panels.

All items held by the university library can be searched in both the → online catalogue (OPAC) and the → eWALD discovery system.
The open-access collection, located on the 1st and 2nd floors of the library building, includes around 70,000 items. This area is freely accessible and contains both borrowable materials and non-circulating items (reference collection). Most of the open-access materials are organised thematically according to the Dewey Decimal Classification (DDC).
The historical collection consists of approximately 100,000 items and is housed in the library's closed stacks. These materials are typically not available for external loan but may be used on-site in the library. This also applies to microforms such as fiches and microfilm reels, as well as to maps.
The University Library’s Forest History Collection includes archival materials and personal papers dating back to 1830. The collection also contains visual materials (photographs of people, buildings, monuments, events, and forestry equipment), cartographic materials (individual maps, map series, and unpublished working maps), and films. The collection is continuously growing through new additions. Donations of relevant documents to the Forest History Collection are welcome.
Your personal library account can be viewed and managed online. It provides information about all borrowed and reserved items, outstanding fees, and your personal details. You can log in via the “Account” section in the → online catalogue (OPAC).
Students can log in with their HNEE access data.
Employees and external users receive a password upon registration, which is based on their date of birth (format: DDMM). This password can be changed at any time under “User Data” via the “Change Password” option.
By default, an email notification service is activated to inform you about due dates, reservations, reminders, and similar updates. These notifications are automated and do not exempt users from independently keeping track of due dates and deadlines.
Most e-books available through the University Library’s subscriptions can be accessed via the → ProQuest Ebook Central platform. To use this service, you will need to create a free account once—either while on campus or via VPN. E-books on ProQuest can be read online using the built-in reader or downloaded for offline use for up to 7 days.
E-books not hosted on ProQuest (such as those from UTB or other databases) can also be downloaded and read offline.
The University Library’s collection of electronic journals (e-journals) can be accessed via the → Electronic Journals Library (EZB).
The University is part of the DEAL agreements with publishers such as Wiley and Springer Nature, which provide full-text access to a wide range of e-journals.
University members (students and employees) have automatic access to e-journals when connected to the University’s network—either via campus Wi-Fi or through VPN when off campus.
External users can access e-journals using the dedicated library computers available on site.
You can borrow items from the Library by presenting your Library Card or GreenCard at the lending and information desk or using the self-checkout machine. Items are usually available for a loan period of four weeks. You may borrow up to 40 items at a time. Please note: Textbooks marked with a red label are part of the reserved collection and may only be borrowed by HNE students.
Current print journals can be borrowed overnight or over the weekend from the lending and information desk.
Items can be returned either at the lending and information desk or via the self-checkout machine. If items are returned late, overdue fees will apply.

Loan renewals can usually be made from five working days before the due date. You can renew items online via your library account, at the lending and information desk, by email, or over the phone.
If a borrowed item is lost or damaged, please notify the Library immediately. You will be required to replace it with an identical or newer edition. Prompt reporting may help you avoid additional overdue fees.
If an item you need is currently on loan, you can place a hold via your library account. You will be notified by email when it’s ready to collect at the lending and information desk.
The following → fee statutes apply at the University Library.
Wi-Fi: Students and employees have access to the campus Wi-Fi on their personal devices. External users cannot connect to the campus network on their own devices.
EDUROAM is available for students and employees from other universities.
A guest Wi-Fi network is available for all users. Please note that it does not allow access to the Library’s digital resources. The guest Wi-Fi password can be requested at the service desk.
Facilities
Toilets are located on each floor. An accessible toilet and a baby change table are available on the ground floor.
Lockers
Lockers are available for secure storage of wardrobe and bags. They are fitted with coin-operated locks and can be used with a €1 coin or token (tokens are available free of charge at the lending and information desk). Lockers must be cleared daily. Designated lockers may be hired from the service desk for up to ten opening days. Lockers that have not been cleared will be opened by Library staff after prior notice. If the lock cylinder needs to be replaced, the cost will be charged to the user.
Accessibility
The University Library is fully accessible. A lift provides step-free access to all floors. An accessible toilet is available on the ground floor.
Food and Drink
Food and drink are not permitted in the Library. The only exception is water in clear plastic bottles.
Scanning, Copying, and Printing
Scanning and copying facilities are available in the Copy Centre. A book scanner (no OCR functionality) and a scan tent (requires a free app) are available. Microforms can be scanned and saved using the designated microform reader.
Students can print or copy from the research PCs or directly from a personal USB stick at the copier. A loaded GreenCard is required for printing and copying. Cards can be topped up in Building 5.
Carrels (study booths) are available for use by HNEE students and are located on the first and second floors of the University Library. There is one double carrel, one parent-and-child carrel, and five single carrels.
All carrels can be reserved for up to five opening days. Extensions may be possible (subject to availability) from two opening days before the end of the current reservation.
Keys must be collected and returned daily at the lending and information desk in exchange for your GreenCard. For bookings spanning multiple days, study materials may be left in the carrel for the duration of the reservation. Carrels must be cleared on the final day of use.
The Forum on the ground floor features modular OASIS stools and is a flexible, open space available at all times. It is designed for rehearsing, discussing, connecting, brainstorming, and more.
The licensed databases provided by the University Library are available to all users.
University Members (students and employees) of the university can access the databases automatically and without needing to log in when connected to the HNEE network—either via campus Wi-Fi or through VPN from off-campus.
External users may access the licensed databases on the research PCs available within the University Library.
If an item is not available in the University Library’s collection, you can request either a partial copy/scan or the entire work from other libraries. Interlibrary loan requests are placed via the KOBV portal using your library account login details.
There is a fee of €1.50 per request, payable upon collection. This fee is a processing charge and applies even if the requested item cannot be supplied. Loan extensions should be requested at the University Library at least one week before the due date (extensions cannot be requested through the lending library).
